IHG Merlin is an internal portal for eligible IHG corporate, managed-hotel, franchise-hotel, contractor, and other authorized users. The current sign-in screen asks for an email address and password, while account eligibility and available tools depend on the user’s employer, property, region, and assigned role.
This independent article is not affiliated with IHG Hotels & Resorts. Account registration, recovery, and access changes should be completed through IHG’s own systems or the appropriate property and corporate support teams.
What is IHG Merlin?
IHG Merlin is an authenticated work portal that connects authorized users with internal IHG resources. Official maintenance pages identify services such as MyID, MyLearning, MyRecruit, Outlook Webmail, PeopleSoft, SmartPay, reporting tools, and hotel performance resources among the applications associated with the environment.
It is not an IHG One Rewards guest account.
That difference matters because the two login screens can appear in the same search results. IHG One Rewards is used by hotel guests to manage stays, points, and member benefits, while Merlin is intended for workplace access.
A Rewards password will not necessarily work on Merlin. Start by confirming which account the task requires, then skip resets on unrelated IHG websites.
Use the current IHG Merlin sign-in screen
The current Merlin authentication page displays fields labeled Email Address and Password, along with Forgot password or username? and Login controls.
Enter only the work identity assigned or registered through the relevant IHG process. An employee’s public IHG One Rewards email is not automatically the same as a Merlin network identity.
Old bookmarks deserve caution. A saved link may lead to a logout, expired authentication, or application-specific redirect rather than the normal entry screen. When the page behaves unexpectedly, return to the current Merlin sign-in route supplied through IHG or your property.
Do that first. Skip third-party “employee portal” pages that copy generic instructions but cannot create, recover, or authorize an IHG network account.
IHG’s maintenance page is also useful during an outage. It explicitly states when maintenance is in progress and may provide continued links to selected applications, so a maintenance notice should not be diagnosed as an incorrect password.
Who can register for a Merlin account?
Merlin registration is tied to an eligible work or business relationship with IHG. The process differs by user group.
Official IHG registration instructions say eligible hotel users may begin through a property-level request process and complete self-registration after receiving an invitation code at the email address supplied. The invitation message includes a link, and registration can also be completed through the IHG login page when that option is available.
Corporate employees and colleagues at IHG-managed hotels in the United States and United Kingdom are told that they will receive a Network ID and temporary password before their start date. Corporate contractors and vendors are directed to their IHG corporate contact, who must arrange account creation through MyID.
This is not open registration.
A person cannot create a valid workplace identity merely by locating the Merlin page. Account sponsorship, property association, or corporate onboarding must already exist.
Prioritize the local manager or authorized property contact when no invitation arrives. Skip making several self-registrations with different email addresses because duplicate or unassociated requests can complicate the access path.
Password reset paths depend on the account type
IHG’s official reset instructions route corporate, managed-hotel, and franchise-hotel colleagues through Password Central at the IHG password service. Users are instructed to select their domain, enter the User ID, and choose the appropriate password option.
For franchise-hotel colleagues, the published instructions distinguish between Change Password and Forgot Password. A person who does not remember the current password can select the forgot-password path and answer the configured security questions.
There is an important limitation: IHG states that users who have forgotten their username cannot use that reset tool and must contact the IHG Service Desk.
Do not guess the username.
A password reset and a username recovery are separate problems. Resetting a guest Rewards account or repeatedly testing possible Merlin identities will not recover an unknown workplace User ID.
Why the new password may not work immediately
Official IHG password-reset guidance says a newly created password may take up to one hour to synchronize across devices and platforms. Users are told to test it by signing in with their Merlin ID and completing second-factor authentication.
That delay is easy to misread. A user resets the password, immediately tests several applications, and assumes the reset failed when one system has not yet received the update.
Wait for the documented synchronization period before performing another reset. Repeated changes can leave the user uncertain about which password is current while connected systems catch up.
The delay can vary by platform and environment. If Merlin works but another application does not after the stated window, the issue may belong to that application rather than the central password.
Second-factor authentication and locked accounts
Merlin access can require second-factor authentication after the primary identity and password are accepted. IHG’s network-account support page tells users testing a new password to complete the second-factor step.
The same support material describes a specific lock condition involving the Entrust Grid Card MFA process. Entering the wrong challenge five times can produce a Locked Error message. IHG directs users through its auto-unlock guidance and says unresolved cases may require Global Support to remove the authenticator so a new one can be registered.
Stop after the lock appears.
Continuing to submit challenges is unlikely to restore access. Use the documented unlock or support route instead.
This distinction helps narrow the problem:
- Rejection before MFA may involve the identity or password.
- Failure at the second-factor screen may involve the registered authenticator.
- A maintenance page may indicate platform availability.
- Access to Merlin but not one app may indicate an application permission issue.
Handle the failing layer first. Skip changing a working password merely because the authenticator is locked.
Merlin access does not guarantee every application
The Merlin environment links to many internal tools, but users are not automatically entitled to all of them. The official application list includes services serving different corporate, hotel, recruitment, finance, learning, and operational functions.
Visibility can depend on the user’s property, employer, job function, management model, region, or account sponsorship. A franchise-hotel colleague may therefore see a different set of applications from a corporate employee.
When the main portal opens but a required tool is absent, check the role assignment before resetting the password. The property’s authorized contact or IHG support team may need to confirm that the account is associated with the correct hotel and permissions.
One-app failures are not always login failures.
MyLearning and IHG University
IHG University is a separate learning experience linked with the broader employee environment. The official mobile application says users can access their personal IHG learning journey and the IHG University catalog while learning progress is updated in real time.
The mobile description also warns that its functionality differs slightly from the desktop experience. For the complete set of functions, users are directed to IHG myLearning on a desktop.
This creates a practical troubleshooting test. If a course or control is absent in the app, check the desktop myLearning experience before opening an account ticket.
Do desktop first. Skip repeated app reinstalls when the missing function is documented as desktop-only.
Merlin and the Employee Room Benefit Programme
The IHG Employee Room Benefit Programme is connected to employment eligibility, but it is not activated merely by having a guest Rewards account.
IHG says eligible employees must have their IHG One Rewards number linked to their Merlin ID, or have the room benefit activated by a manager through Loyalty Connect, before they are ready to use the employee room benefit. Proper identification must be presented at hotel check-in.
This is one of the areas where unofficial guides often oversimplify the process. A Merlin login, an IHG One Rewards membership, and room-benefit eligibility are related but distinct.
Access and availability can vary by property and region. Use the employee programme page and workplace support route for the current conditions rather than assuming that every Rewards booking qualifies.
Account security and support
IHG’s Terms of Use state that users should notify IHG promptly if the security of a login or password has been breached. The company’s Privacy Statement describes how personal information is handled, while its Responsible Disclosure page provides a route for reporting potential vulnerabilities in IHG systems.
For ordinary account trouble, use Password Central, the Merlin network-account support page, the local property’s authorized contact, or the IHG Service Desk path presented for the user’s region and account category.
A useful support report should identify the account category, affected application, exact error wording, and whether the failure occurs before or after second-factor authentication. Do not include authentication secrets or private employee records.
Frequently asked questions
Is IHG Merlin the same as IHG One Rewards?
No. Merlin is for authorized workplace access, while IHG One Rewards is the hotel guest loyalty account.
Can anyone register for IHG Merlin?
No. Registration depends on an eligible IHG corporate, managed-hotel, franchise-hotel, contractor, vendor, or other authorized relationship. Some users receive an invitation code, while others receive a Network ID through onboarding or sponsorship.
What if I forgot my Merlin username?
IHG’s franchise password-reset instructions state that the self-service tool cannot be used when the username is forgotten. Contact the IHG Service Desk through the support route provided for your account.
Why does my new password fail in one application?
IHG says a new password may take up to one hour to synchronize across devices and platforms. Wait for that period, then determine whether Merlin itself works and only the connected application remains unavailable.
What is the Locked Error message?
IHG documents a lock after five incorrect Entrust Grid Card MFA challenges. Follow the network-account support instructions; unresolved cases may require Global Support to remove and re-register the authenticator.
Can I use the IHG University app instead of desktop myLearning?
For some tasks. The official app supports the learning journey, catalog, and progress updates, but IHG says functionality differs from desktop and directs users to desktop myLearning for the complete experience.
Does a Merlin ID automatically activate employee hotel rates?
No. IHG says the employee must be eligible and have the Rewards number linked to the Merlin ID, or have the benefit activated through Loyalty Connect by a manager.
Start with the current Merlin login, identify whether the failure concerns the username, password synchronization, second factor, or one connected application, and use the IHG support path assigned to that account category.
