IHG Merlin is a workplace portal for authorized hotel, corporate, contractor, and vendor users. Its current sign-on page separates normal login from username or password recovery, new network-account requests, and registration for people who have already received an invitation code.
This independent guide is not affiliated with IHG Hotels & Resorts. Account creation, recovery, and permission changes should be completed through IHG systems or the authorized contact responsible for the user’s hotel or corporate relationship.
What IHG Merlin is used for
Merlin connects eligible users with internal IHG resources rather than guest booking tools. During a documented maintenance period, IHG listed applications including MyHR, MyID, MyLearning, MyRecruit, Outlook Webmail, PeopleSoft, SmartPay, reporting services, and hotel-performance tools.
Access is personalized. A franchise-hotel employee may not see the same applications as a corporate employee, managed-hotel colleague, contractor, or regional operator.
That distinction is central to troubleshooting. Merlin may accept the workplace identity while an individual application remains hidden because the required property, department, role, or organizational assignment has not been attached to the account.
One portal. Separate permissions.
Do you need Merlin or IHG One Rewards?
Search results often place the employee portal beside IHG One Rewards pages. They serve different users.

IHG describes its One Rewards account as the place where members manage bookings, earn points, and redeem rewards. Merlin registration instead requires an eligible workplace or sponsored relationship.
Check the task first. Use One Rewards for a guest stay or points issue; use Merlin for an internal hotel application.
Skip a guest-account password reset when the missing resource is MyHR, PeopleSoft, MyLearning, SmartPay, or another workplace tool. Even when both accounts involve the same email address, they should not be assumed to share one password or identity.
Choose the correct sign-in path
The current Merlin page presents several account routes instead of one universal form. Users can log in, select Forgot password or username?, begin the updated network-account request process, or continue registration when an invitation code has already been issued.
Use the route that matches the account’s actual state:
- Existing identity and known credentials: normal login
- Existing identity but forgotten access details: recovery
- No workplace identity yet: network-account request
- Invitation already received: invitation-code registration
Do not use registration as a substitute for account recovery. Creating another request can leave the underlying hotel or sponsor association unresolved.
Old bookmarks create another failure point. An application link saved after authentication may expect an active session. When it returns an error or loops back to sign-in, begin from the current Merlin route rather than repeatedly refreshing the saved address.
How hotel colleagues request an account
IHG’s registration instructions tell hotel users to ask a General Manager, IT Administrator, or Deputy GM to start the Network ID invitation process. The request requires a hotel code, job title, and valid email address.
The invitation code is then sent to the supplied address. Registration can be completed through the link in that message or through the invitation route on the IHG login page.
No invitation? Return to the manager or administrator who initiated the request.
Do not start with password recovery. A password cannot be recovered for an identity whose invitation or self-registration process has not been completed.
IHG also documents two less typical cases. When no qualifying manager or IT administrator is employed at the property, the registration page directs users to Hotel Operations Support. For a hotel that has not opened, it points users to the NHOP Manager or Regional Director.
The appropriate contact varies by region and property status.
Corporate employees, contractors, and vendors
Corporate account creation follows another route.
IHG says corporate employees and employees at IHG-managed hotels in the United States and United Kingdom receive a Network ID and temporary password by email before their start date. Contractors and vendors must ask their IHG corporate contact to arrange a Network ID through MyID.
A contractor should therefore contact the sponsor first. Skip the hotel invitation process unless IHG has specifically placed that user in the hotel-account workflow.
A personal email address alone does not establish authorization. The account must be linked to the correct corporate sponsor, property, or employment record before Merlin applications can be assigned.
Recovering a Merlin password
IHG’s password instructions direct corporate, managed-hotel, and franchise-hotel colleagues to Password Central. The user must select the applicable domain, enter the User ID, and choose Forgot Password.
Check the domain carefully.
A correct User ID under the wrong account domain may not return the expected recovery process. Confirm whether the identity belongs to a corporate, managed-hotel, franchise-hotel, or other supported environment before treating the account as missing.
Franchise instructions also distinguish Change Password from Forgot Password. Change Password is intended for a colleague who knows the current credential; Forgot Password uses the configured recovery process when it is no longer known.
An unknown username is different. IHG states that users who have forgotten the username cannot use the franchise self-service reset tool and must contact the IHG Service Desk.
Do not guess multiple IDs.
Why the replacement password may fail at first
IHG states that a new password may take up to one hour to synchronize across devices and platforms.
Wait before changing it again.
A colleague may reset the password, test one connected application immediately, receive another rejection, and perform a second reset. That creates uncertainty about which credential is current while different systems are still receiving the changes.
After the synchronization window, test the central Merlin login first. When Merlin works but only one application continues to reject access, stop resetting the password and investigate that application’s role or account assignment.
The network-account page also instructs users recovering access to enter the Merlin ID, choose Password locked or forgotten, and complete second-factor authentication.
Identify where the login stops
Account problems are easier to resolve when the failing layer is identified.

Do the narrow check first. Skip a central password reset when Merlin already opens and only one tool is unavailable.
An account can authenticate correctly while MyHR, MyLearning, PeopleSoft, SmartPay, or another resource lacks a role. IHG’s maintenance list confirms that these are distinct applications serving different functions, not one undivided Merlin screen.
What a maintenance page means
IHG maintains a Merlin Maintenance in progress page that explains when the platform is unavailable and may provide direct links to popular applications during the interruption.
This is not a password error.
Use an available application link from the maintenance page when appropriate, or return after the stated maintenance window. Resetting the account will not restore a platform that IHG has taken offline.
Keep this diagnosis simple.
MyLearning on mobile and desktop
The official IHG University application provides access to a personal learning journey, the IHG University catalog, and real-time learning-progress updates.
The application description also says that mobile functionality differs slightly from desktop and directs users to IHG myLearning on a computer for the complete set of functions.
Use desktop first when a course control, completion action, or administrative feature appears to be missing. Reinstalling the mobile application cannot add a function that IHG reserves for the full desktop experience.
IHG also states that colleagues and team members at IHG-branded hotels can access IHG University through People Tools and learning portals such as myLearning, although individual courses may have separate conditions.
When workplace support should take over
Use the IHG Service Desk, General Manager, Hotel IT Administrator, Deputy GM, or corporate sponsor when:
- The Network ID was never created
- The invitation code did not arrive
- The username is unknown
- Password Central cannot locate the account under the expected domain
- The new password still fails after the synchronization period
- Second-factor authentication cannot be completed
- Merlin opens but a required application is missing
IHG’s registration and reset pages route unresolved cases to authorized property contacts or the Service Desk.
A useful report identifies the account category, associated hotel or corporate organization, affected application, exact error text, and whether access stops before or after second-factor authentication. Authentication secrets should remain inside IHG’s own sign-in process.
