IHG Merlin is a workplace portal for authorized IHG corporate employees, managed-hotel colleagues, franchise-hotel users, contractors, vendors, and other approved personnel. The current Merlin page separates normal login, account recovery, network-account requests, and registration with an existing invitation code.
This independent article is not affiliated with IHG Hotels & Resorts. Account creation, recovery, and access changes should be completed through IHG systems or the authorized contact responsible for the user’s hotel or corporate relationship.
What is IHG Merlin?
IHG Merlin provides authenticated access to internal hotel and corporate resources. During platform maintenance, IHG lists applications including MyHR, MyID, MyLearning, MyRecruit, Outlook Webmail, PeopleSoft, Reporting, SmartPay, Meeting Broker, and hotel performance tools.
Merlin is not the same account as IHG One Rewards.
One Rewards is the guest loyalty environment used to manage stays, points, member benefits, and reward activity. Merlin is tied to an authorized workplace or business relationship with IHG.
This difference should be checked first. Resetting a guest-account password will not necessarily repair access to an internal hotel application.
Choose the right Merlin account path
The current Merlin sign-on page presents several distinct routes:
- Forgot password or username?
- A link to begin the changed network-account request process
- A route for users who already have an invitation code
These options solve different problems.
Use ordinary login when the account has already been created and the assigned identity is known. Use recovery when an existing account cannot be accessed. Use the account-request route when the workplace identity has not yet been created, and use the invitation path only after an authorized invitation has been issued.
Do not treat the invitation page as open public registration. The user must already be connected to an eligible hotel, corporate department, contractor relationship, or approved sponsor.
Third-party login guides often flatten all four paths into “enter a username and password.” That misses the most important question: does the person already have a valid IHG network identity?
How hotel users receive an invitation
IHG’s registration instructions tell hotel users to ask their General Manager, IT Administrator, or Deputy GM to begin the Network ID invitation process. The request requires the hotel code, job title, and a valid email address.
After the request is processed, the invitation code is sent to the supplied email address. The recipient can follow the link in the invitation or continue registration from the IHG login page.
No invitation? Return to the person who initiated the request.
Do not start by resetting a password. A password recovery process cannot complete registration for a workplace identity that has not yet been established or associated with the correct hotel.
IHG also publishes fallback instructions for unusual property situations. If no qualifying manager or IT administrator currently works at the property, the registration page lists Hotel Operations Support. For a hotel that has not opened, the page directs the user to the NHOP Manager or Regional Director.
The correct route varies by property status and region.
Corporate employees, contractors, and vendors
Corporate access follows a different path.
IHG states that corporate employees and employees at IHG-managed hotels in the United States and United Kingdom receive an email containing their Network ID and temporary password before the start date.
Corporate contractors and vendors are told to contact their IHG corporate sponsor, who must arrange creation of the Network ID through MyID.
This distinction matters. A contractor usually cannot replace sponsorship by submitting a hotel-user invitation request. The underlying corporate contact must create or sponsor the identity through the appropriate process.
Prioritize the sponsor first. Skip duplicate requests under personal and business email addresses.
Resetting a Merlin network password
IHG directs corporate, managed-hotel, and franchise-hotel colleagues to Password Central for network password resets. The official instructions tell users to select the correct domain, enter the User ID, and choose Forgot Password.
The domain is not a decorative field.
An identity entered under the wrong domain may not produce the correct account or recovery route. Before assuming the User ID is invalid, confirm whether the account belongs to the corporate, managed-hotel, franchise-hotel, or another applicable environment.
For franchise-hotel colleagues, IHG distinguishes Change Password from Forgot Password. The change option is intended for someone who can provide the current password, while the forgot-password route uses the account’s configured recovery checks.
Unknown username? Stop guessing.
IHG states that franchise users who have forgotten their username cannot use that self-service reset tool and must contact the IHG Service Desk.
Why the new password may still be rejected
A successful password reset may not reach every connected system immediately.
IHG says a new password can take up to one hour to synchronize across devices and platforms. The instructions tell users to enter the username and new password in the login box after completing the reset.
Wait before resetting it again.
A common mistake is to create a new password, test one application immediately, see another rejection, and create a second password. Connected services may then be processing different password changes, leaving the user unsure which one is current.
After the stated synchronization period, test central Merlin access first. If Merlin works but one internal application remains unavailable, treat that as an application-specific issue rather than repeating the central password reset.
One controlled test. Then stop.
Network-account support and second-factor checks
IHG’s Network Account Support page separates forgotten-password recovery from second-factor authentication. Its instructions begin with entering the Merlin ID, choosing Password locked or forgotten, and completing the required second-factor check.
That gives users a practical failure map:
| Where access stops | What to check first |
|---|---|
| Before the account is found | User ID, account domain, registration status |
| Before second factor appears | Password, synchronization, account status |
| At the second-factor stage | Registered authentication method |
| After Merlin opens | Application permission or role |
Do not reset a working password when the failure occurs at the second-factor stage.
A changed phone, unavailable authenticator, or locked authentication method belongs to network-account support. It does not prove that the primary password is wrong.
Merlin works, but an application is missing
The Merlin environment contains tools for different functions, including HR, learning, recruitment, email, payroll-related systems, reporting, finance, and hotel operations.
Every colleague will not receive the same application list.
Access can depend on the hotel attached to the identity, corporate or franchise status, region, department, job role, or a permission configured in MyID. Merlin may authenticate the user while the requested application rejects or hides the account.
Use the scope of the failure:
- Merlin and several tools work: investigate the missing application.
- Nothing works after a recent reset: allow for synchronization, then test again.
- The account cannot be found: check the ID, domain, or registration status.
- Login works but second factor fails: use network-account support.
Do the permission check first when only one tool is missing. Skip another password reset.
What a maintenance page means
IHG maintains a Merlin page labeled Maintenance in progress. It states that the platform is unavailable and may provide links to popular applications that remain accessible during the interruption.
That page is an availability notice, not a password error.
Do not change the account merely because Merlin is under maintenance. Review the temporary application links, complete urgent work through an available direct route when appropriate, or return after the platform is restored.
This section is brief because the action is brief: wait, use the provided application route, or report a separate application failure.
MyLearning on desktop and mobile
The IHG University mobile application provides access to a personal learning journey, the IHG University catalog, and learning-progress updates.
Its official description also says the mobile experience and functionality differ slightly from desktop. Users are directed to IHG myLearning on a desktop for the complete set of functions.
Check desktop first when a course control or administrative feature is missing from the app. Reinstalling the mobile application will not add a function that is only available in the full desktop experience.
A colleague who can access Merlin and other tools probably does not have a central network-password problem merely because one learning feature is absent on mobile.
Where support should take over
Use the IHG Service Desk, property administrator, General Manager, Hotel IT Admin, or corporate sponsor when:
- The Network ID was never created
- The expected invitation code did not arrive
- The username is unknown
- The correct domain does not locate the account
- A password still fails after the synchronization period
- Second-factor authentication cannot be completed
- Merlin opens but a required application is missing
IHG’s registration and reset pages repeatedly route unresolved cases to authorized workplace contacts or the IHG Service Desk.
A useful support request identifies the user category, hotel or corporate relationship, affected application, exact error wording, and the stage where access stops. Account secrets should remain inside IHG’s authentication process.
Frequently asked questions
Is IHG Merlin a guest account?
No. It is for workplace access.
Can anyone register for IHG Merlin?
No. Registration requires an eligible hotel, corporate, contractor, vendor, or other approved relationship. Hotel users generally begin through an authorized property contact and receive an invitation code.
What details are needed for a hotel account request?
IHG’s registration instructions list the hotel code, job title, and a valid email address. The request is started by the General Manager, IT Administrator, or Deputy GM.
Why does my new Merlin password not work yet?
IHG says synchronization across devices and platforms may take up to one hour. Wait through that period before resetting the password again, then test Merlin separately from the individual application.
What if I forgot my username?
The franchise reset instructions say the self-service tool cannot recover an unknown username. Contact the IHG Service Desk through the support route assigned to your account.
Why can I sign in but not see MyHR or PeopleSoft?
The central identity may be valid while the application lacks the required role, hotel association, department, or regional permission. The Merlin maintenance list confirms that these are separate internal tools.
Is IHG One Rewards connected to Merlin login?
They are separate account environments. One Rewards manages guest stays and loyalty activity, while Merlin is used for authorized workplace resources.
Can I complete all MyLearning tasks in the mobile app?
Not necessarily. IHG says mobile functionality differs from desktop and directs users to desktop myLearning for the complete experience.
Start with the correct account path, confirm the Network ID and domain, allow a new password to synchronize, and separate central login trouble from second-factor or application-permission failures.
