How IHG Merlin Accounts and Sign-In Paths Work

IHG Merlin is a workplace gateway for authorized IHG hotel, corporate, contractor, and vendor users. The current sign-on page separates ordinary login from account recovery, new Network ID requests, and self-registration for people who already have an invitation code.

What IHG Merlin does

Merlin connects eligible colleagues with internal applications used for hotel operations, employment administration, training, recruitment, email, reporting, and finance-related work.

IHG’s own maintenance page lists resources such as MyHR, MyID, MyLearning, MyRecruit, Outlook Webmail, PeopleSoft, Reporting, SmartPay, and Performance Tracker for Hotels. That list also shows why Merlin should be viewed as a gateway rather than one all-purpose application.

Access varies by role.

A corporate colleague may see resources that are absent for a franchise-hotel employee. A contractor may receive only the applications approved by the corporate sponsor. Property, employer, region, department, and Network ID permissions can all affect what appears after login.

A working Merlin account therefore proves only that the central identity can authenticate. It does not establish permission for every application linked from the portal.

Choose the correct account before resetting anything

IHG One Rewards and IHG Merlin are separate environments.

One Rewards is the guest loyalty account used to manage hotel bookings, points, stays, and member benefits. Merlin is for authorized workplace access.

Use this decision first:

Do not reset a One Rewards password when the missing resource is MyHR, PeopleSoft, MyLearning, SmartPay, or another internal tool.

The same email address may appear in more than one IHG service, but that does not make the accounts interchangeable. One Rewards recovery does not necessarily change a Merlin network password.

Existing login, recovery, or new registration?

The Merlin sign-on page offers several distinct routes. It includes normal login, Forgot password or username?, a link to begin the revised Network Account request process, and a separate path for users who already have an invitation code.

Choose based on the account’s actual state:

  • Use normal login when the Network ID exists and the credentials are known.
  • Use recovery when an existing account cannot be accessed.
  • Use the Network Account request process when no authorized workplace identity has been created.
  • Use self-registration only after an invitation code has been issued.

These routes should not be mixed.

Creating a second request will not repair a disabled account. Password recovery will not finish an invitation that was never completed. Self-registration cannot replace the property or corporate sponsorship required to create the identity.

Do the status check first. Skip repeated registrations under different email addresses.

How hotel colleagues receive Merlin access

IHG’s registration instructions say an eligible hotel user receives an invitation code at the email address provided during the account-request process. The invitation contains a link for completing self-registration, and registration can also be continued through the IHG login page.

This means a hotel colleague normally needs an authorized request before self-registration is possible.

When an expected invitation is missing, return to the property contact who initiated the request. Ask that person to confirm that the request was created for the correct hotel and email address.

Do not begin with password recovery. There may be no completed account to recover yet.

Account procedures can vary by region, property structure, and whether the hotel is managed or franchised. Use the onboarding route provided by the property rather than instructions written for another category of IHG user.

Corporate employees, contractors, and vendors

IHG publishes a different setup path for corporate users.

Corporate employees and colleagues at IHG-managed hotels in the United States and United Kingdom are told that they will receive a Network ID and temporary password before their start date. Corporate contractors and vendors must contact their IHG corporate sponsor, who arranges Network ID creation through MyID.

That sponsor requirement matters. A vendor cannot replace corporate sponsorship by selecting the hotel-user registration path.

Contact the sponsor first. Skip duplicate requests through unrelated IHG portals.

If the person has changed assignments or returned after a previous engagement, the sponsor or account administrator may also need to confirm whether an existing Network ID should be restored instead of creating another identity.

Resetting the Merlin password correctly

IHG directs corporate, managed-hotel, and franchise-hotel colleagues to its Password Central service. The documented process requires users to select their domain, enter the User ID, and choose Forgot Password.

The domain field is significant.

A valid User ID submitted under the wrong domain may not reach the correct account. Confirm the user category before concluding that the identity does not exist.

Franchise-hotel instructions also distinguish Change Password from Forgot Password. Change Password is for a user who knows the current credential. Forgot Password is for someone who cannot provide it and must complete the configured recovery process.

Unknown username? Stop there.

IHG states that franchise colleagues who have forgotten the username cannot use that self-service tool and must contact the IHG Service Desk.

Guessing several User IDs can create extra failed attempts without identifying the correct account.

Wait for password synchronization

A new password may not appear in every connected system immediately.

IHG says it may take up to one hour for a replacement password to synchronize across devices and platforms.

Wait before resetting it again.

An experienced helpdesk pattern is easy to recognize: the colleague changes the password, immediately tests one downstream application, receives another rejection, and performs a second reset. Different services may then be processing different changes, leaving the user unsure which password is current.

After the documented window, test central Merlin access first. If Merlin accepts the new password but one tool still fails, stop changing the central credential and investigate the individual application.

The Network Account Support page also tells users to test the new password with the Merlin ID and then complete second-factor authentication.

Do the narrow check first.

A missing MyHR or MyLearning link is not automatically a password problem. The official maintenance list confirms that Merlin connects to separate applications serving different functions.

When several applications work and only one is absent, prioritize permissions. The user’s property administrator, corporate sponsor, or application owner may need to correct the role in MyID or the relevant system.

When nothing works, check the central account.

Maintenance is not an account failure

IHG maintains a page labeled Maintenance in progress. It states that the platform is unavailable and may provide direct links to popular applications that can still be accessed during the outage.

Do not reset the password because this page appears.

Use a supplied direct link when the required application remains available, or return after the platform has been restored. A credential change cannot repair a system-wide interruption.

Brief cause. Simple response.

MyLearning mobile and desktop differences

The IHG University mobile app provides access to a personal learning journey, the IHG University catalogue, and real-time learning-progress updates.

IHG also says the app’s experience and functionality differ slightly from desktop and directs users to desktop myLearning for a complete view of available functions.

Check desktop first when a course control, completion action, or administrative option is absent from the mobile app.

Skip repeated reinstalls unless the failure is clearly limited to the app. A colleague who can enter Merlin and open other tools probably does not have a central Network ID problem merely because one training feature is unavailable on mobile.

When support should take over

Use the IHG Service Desk, property administrator, or corporate sponsor when:

  • The Network ID was never created
  • The invitation code was not received
  • The username is unknown
  • Password Central cannot find the account under the expected domain
  • The new password fails after the synchronization period
  • Second-factor authentication cannot be completed
  • Merlin opens but a required application remains missing

IHG’s reset instructions route unresolved password cases to the Service Desk.

A useful support report identifies the user category, hotel or corporate relationship, affected application, exact error wording, and whether access stops before or after the second-factor step.
