IHG Merlin Access from Account Request to App Login

IHG Merlin is a workplace gateway for authorized hotel, corporate, contractor, and vendor users. The sign-on page separates four jobs: logging in, recovering an existing account, requesting a Network ID, and completing registration with an invitation code.

This independent guide is not affiliated with IHG Hotels & Resorts. Account creation and access changes must be handled through IHG systems or the manager, administrator, or sponsor responsible for the user’s workplace relationship.

What IHG Merlin provides

Merlin connects eligible colleagues with internal applications used for hotel operations, employment administration, learning, recruitment, communications, reporting, and finance-related work.

IHG’s own application listing has included services such as MyHR, MyID, MyLearning, MyRecruit, Outlook Webmail, PeopleSoft, Reporting, SmartPay, Meeting Broker, and hotel-performance tools. These are separate applications reached through the broader employee environment, not sections of one universal dashboard.

Access is role-based.

A franchise-hotel employee may see a different set of resources from a corporate colleague. Contractors may receive only the applications approved by their IHG sponsor. Region, hotel association, employer, department, and account permissions can affect what appears after sign-in.

This distinction changes the troubleshooting path. When Merlin opens but MyHR or another tool does not, check the application assignment first and skip another central password reset.

Choose the correct IHG account

IHG One Rewards and IHG Merlin are separate account environments.

The One Rewards login is intended for member benefits, booking management, points earning, and reward redemption. Merlin requires an authorized employment, hotel, contractor, vendor, or sponsored relationship.

Do the account check first. Skip One Rewards recovery when the actual task involves PeopleSoft, MyLearning, MyHR, reporting, or another workplace resource.

The same email address might appear in both environments, but that does not prove they use the same identity or password.

Pick the right sign-on path

The current Merlin sign-on page presents separate links for account recovery, Network ID requests, and invitation-code registration.

Use the path matching the account’s actual state:

  • Known account: use the normal login.
  • Existing account with lost access: select the recovery route.
  • No Network ID yet: begin the Network Account request.
  • Invitation already received: continue through the invitation-code path.

Do not create another request to repair a forgotten password. Do not attempt password recovery when registration was never completed.

Old bookmarks create a different problem. A saved application link may contain a temporary authentication request and expect an existing session. If it loops or returns an expired page, begin again from the current Merlin sign-on route.

Simple reset. Correct starting point.

How new hotel users receive access

Hotel access starts with an authorized workplace request rather than open public registration.

IHG’s registration guidance says an eligible hotel user receives an invitation code at the email address supplied during the request process. The recipient can use the link in the invitation or continue registration from the IHG login page.

No invitation message means the priority is the property contact who initiated the request. That person should confirm that the correct email address, hotel association, and account request were used.

Skip password recovery at this stage. An incomplete invitation is a registration problem, not a forgotten-password problem.

The exact process may vary by region, management model, and property status. A franchise hotel can follow a different account-administration structure from an IHG corporate office or managed hotel.

Corporate employees, contractors, and vendors

IHG publishes a separate setup route for corporate users.

Corporate employees and colleagues at IHG-managed hotels in the United States and United Kingdom are told they will receive a Network ID and temporary password before their start date. Corporate contractors and vendors must contact their IHG corporate sponsor, who arranges Network ID creation through MyID.

A contractor should contact the sponsor first.

Submitting a hotel-user registration request does not replace corporate sponsorship. The identity needs to be connected with the correct IHG organization before internal applications can be assigned.

Returning users should also avoid assuming that a second request is needed. The property administrator or corporate sponsor may need to restore, extend, or update the existing identity instead.

Reset the password in Password Central

IHG directs corporate, managed-hotel, and franchise-hotel colleagues to Password Central for network-password assistance. The documented screen requires users to select a domain, enter the User ID, and choose Forgot Password.

The domain field matters.

A valid User ID submitted under the wrong account environment may not produce the expected recovery path. Confirm whether the account belongs to a corporate, managed-hotel, franchise-hotel, or other supported domain before treating the ID as invalid.

Franchise instructions distinguish Change Password from Forgot Password. Change Password applies when the current credential is known. The forgot-password route is used when it cannot be provided and the configured account checks must be completed.

IHG also states that a franchise user who has forgotten the username cannot use that self-service tool and must contact the IHG Service Desk.

Do not guess multiple User IDs.

Allow the new password to synchronize

A completed reset may not reach every IHG platform immediately.

IHG says a new password can take up to one hour to synchronize across devices and platforms.

Wait before changing it again.

The common mistake is a rapid second reset. A colleague creates a new password, immediately tests one connected application, sees another rejection, and changes it again before the first update has propagated. Different systems may then be processing different credentials.

After the documented window, test the central Merlin login first. If Merlin accepts the replacement password but one application does not, stop resetting the central account.

Investigate the remaining application instead.

Do the narrow test first. Skip password changes when the password already opens Merlin.

The portal links to applications serving different departments and operating functions. Access to one does not automatically establish access to all others.

A missing application may require action from a hotel administrator, manager, corporate sponsor, or application owner. The appropriate contact varies by region and workplace structure.

Check account status before another reset

A disabled or improperly associated Network ID can resemble a bad password. The distinction matters because setting another password does not change the identity’s status or hotel assignment.

Ask the authorized administrator to confirm:

  • Whether the Network ID is active
  • Which domain owns the account
  • Which hotel or corporate organization is attached
  • Whether the required application role has been added

This is hands-on helpdesk territory. When one tool disappears after a job or property change, the likely issue is often the assignment connected to that tool, while repeated password changes only add noise.

Check the role first. Skip broad account changes until central login has also failed.

Merlin and colleague hotel benefits

A Merlin identity and an IHG One Rewards membership can be connected for eligible colleague travel programmes, but they remain separate accounts.

IHG’s Employee Room Benefit Programme says the employee needs an IHG One Rewards member number. The page also refers to linking that number to the Merlin ID or having the benefit activated through the applicable manager process.

A working Merlin login alone does not establish that the Rewards membership is linked. A working Rewards account does not establish workplace eligibility.

IHG also operates IHG One Pass, a colleague rewards programme with booking instructions that use the IHG One Rewards account and app rather than Merlin as the guest-facing booking tool.

Programme access and availability may vary by region or employment category. Use the current employee-programme page and workplace contact for eligibility questions.

Keep support reports focused

Use the IHG Service Desk, property administrator, or corporate sponsor when:

  • The Network ID was never issued
  • An invitation was expected but did not arrive
  • The username is unknown
  • Password Central cannot locate the account in the expected domain
  • A replacement password fails after the synchronization period
  • The central login works but a required application is missing
  • The account appears inactive or associated with the wrong property

IHG’s password pages direct unresolved cases to the IHG Service Desk.

A useful report states the user category, associated hotel or corporate organization, application name, exact error wording, and whether the failure occurs before or after the primary login.

IHG also publishes a Privacy Statement governing its handling of personal information. Keep account assistance inside the authorized IHG process rather than sending access details through unrelated portal directories.
